Guide: Managing Worker Inductions

This guide explains how to review and approve worker inductions in CSIM. As a foreman, you are responsible for approving inductions at the sites assigned to you.


Overview

When a new worker arrives at your site, they complete a 4-step induction on their own device (phone or tablet). Once they finish, the induction appears in your dashboard as a pending approval. You review their details and approve or reject the submission.

The 4 Steps (Worker Side)

You only get involved at Step 4 — reviewing and approving (or rejecting) the submission.


Where to Find Pending Inductions

There are two places to manage inductions:

1. Dashboard (Quick Approve)

When you log in, the Dashboard shows a Pending Approvals section at the top. This lists all workers awaiting your approval, grouped by site.

  • Each entry shows the worker's name and submission date
  • Click the site name to expand/collapse the list for that site
  • The orange badge shows the total count of pending inductions

2. Records Page (Full List)

Navigate to Records in the top menu, then select the Induction Records tab.

  1. Select your site from the dropdown (required before any records appear)
  2. Use the Status filter to show only "In Progress" records
  3. Use the Search bar to find a worker by name, company, or induction number
  4. Click View on any record to open the full details

How to Approve an Induction

Quick Approve (from Dashboard)

This is the fastest method for routine approvals:

  1. Find the pending induction in the Pending Approvals section
  2. Press and hold the "Hold to Approve" button for 1 second
    • The button fills with a progress indicator while you hold
    • If you release too early, it resets — just try again
  3. The button turns green and shows "Confirm"
  4. Click the green Confirm button
  5. A success message appears — the induction number is generated automatically

The Confirm button auto-locks after 5 seconds. If you miss it, hold the button again.

Full Review (from Dashboard or Records Page)

For a more thorough review:

  1. Click the View button next to any pending induction
  2. A dialog opens showing:
    • Worker's photo, name, email, and contact details
    • Emergency contact information
    • Worker's digital signature
    • Current status badge
  3. Review all the information carefully
  4. Click Approve Induction (green button) at the bottom
  5. Or click Reject (red button) if something is wrong

What Happens After Approval

Once you approve an induction:

  • An induction number is generated automatically (format: SY{SiteCode}{Sequence}, e.g. SY0K30001)
  • The worker receives a notification (email or SMS) confirming their approval
  • The worker can now check in to your site using their email/white card + PIN
  • The record status changes from "In Progress" to "Approved"

How to Reject an Induction

If a worker's submission has errors (wrong photo, incorrect details, etc.):

  1. Open the induction via the View button
  2. Click the Reject button (red)
  3. The worker's record and associated files are deleted
  4. The worker will need to start the induction process again from scratch

Rejection is permanent. There is no "send back for correction" option. If only minor details are wrong, you can approve and then edit the worker's information from the record detail page.


Viewing an Approved Record

To view a completed induction record:

  1. Go to Records > Induction Records
  2. Select the site and optionally filter by "Approved" status
  3. Click View to open the record

The detail page shows:

  • Workflow Timeline — all 4 steps with completion timestamps and who completed each step
  • Worker Information — full personal details with photo
  • Worker Signature — the digital signature from Step 3
  • Induction Number — the assigned number

Editing a Record

On the record detail page, click Edit to update worker information:

  • First name, last name, phone, company, date of birth
  • Emergency contact name and phone

Photos and signatures cannot be changed after submission.

Resetting a Worker's PIN

If a worker forgets their PIN and cannot use the self-service reset:

  1. Open their record detail page
  2. Click Reset PIN
  3. A new random PIN is generated and sent to the worker via email (or SMS if no email)

Understanding the Status Indicators

Important Notes

  • You can only see and approve inductions for sites assigned to you. If you need access to another site, ask your admin.
  • Induction numbers are permanent — once generated, they cannot be changed or reassigned.
  • A worker who registers at multiple sites must complete a separate induction for each site. Approving one does not approve the others.
  • Workers cannot check in to your site until their induction is approved.
  • If you accidentally reject a valid induction, the worker must re-register completely.
